This Privacy Policy explains how PAM NZ Limited (“we”, “us”, “our”) collects, uses, stores and processes your personal information when you access or use Personal Admin Manager mobile application (PAM App) and any related services we provide to you (together the Services). When we refer to personal information throughout this Policy, we mean personal information as defined in the New Zealand Privacy Act 2020, being any information about an identifiable individual
We respect your privacy and are committed to protecting your personal information. We will never sell your personal information or share it with external companies or service providers except those that are essential for delivering our core services through the PAM App or as otherwise required by law.
When dealing with Personal Information, we will comply with this Policy, the New Zealand Privacy Act 2020 and any other applicable privacy and data protection laws (Applicable Privacy Laws).
By accessing and using our Services, you agree to be bound by this Policy.
What Personal Information Do We Collect?
We only collect personal information that is necessary to provide and improve our Services, including:
Account Information: Your name, email address (required to create and use your account), and any other details and demographic data provided by you during sign-up.
Inferred Data: Your approximate location inferred from your device to provide location-based features (required for app functionality).
User Content: Emails, messages and other content you upload, create or share through the PAM App or via email, and content you send our support team for troubleshooting purposes.
Digital Calendars (Google/Outlook/Apple Calendar): We access your calendar data from third-party services solely for display purposes. We do not collect, track or store any data from your connected digital calendars, and we never use your data for analytics or AI training purposes.
Where you provide us with personal information regarding any other individual, you confirm that such individual has authorised you to provide this personal information to us for the purposes set out in this Policy.
Do We Collect Sensitive Data?
We do not actively collect sensitive personal information (such as health data, financial details, or information about children) as part of our Services. Any sensitive information that you choose to provide us within the PAM App or otherwise is provided voluntarily and at your discretion, solely for the purpose of organising your content.
The PAM App is not intended for independent use by children under 16 years old. We do not knowingly collect personal information directly from children. Parents or guardians may choose to enter information about their children (such as names, schedules or routines) for family management purposes and may create accounts for children to help with family organisation.
Any personal information about children is provided and managed by a parent or guardian, who acts on the child’s behalf and is responsible for ensuring the accuracy and appropriateness of the information entered. We process such information only for the purpose of providing the PAM App’s family organisation features and apply appropriate safeguards to protect it. If we become aware that personal information has been collected directly from a child without appropriate consent, we will take steps to delete that information as soon as practicable. How Is Personal Information Collected?
We collect personal information in the following ways:
through content you create within the PAM App;
through content you share with us voluntarily; and
through interactions with our support team.
We collect this information directly from you or your device via the PAM App, and always in a fair, transparent, and lawful manner, in accordance with Applicable Privacy Laws.
We collect analytics information regarding your use of the Services from third party analytics providers. We collect personal information contained in your digital calendar data from third-party service providers (Google, Microsoft and Apple).
Where we collect personal information from a third party, we will take reasonable steps to ensure you are aware of the collection, the purpose for which it is being collected, the intended recipients, our contact details, the legal basis upon which we are authorised or required to undertake the collection, and your rights to access and correct the personal information, to the extent required by Applicable Privacy Laws.
Why Do We Collect This Personal Information?
We collect this personal information to provide our services to you through the PAM App, including:
to organise your family routines and support task management needs;
to respond to communications and provide you with customer support;
to provide enrichment on the data you provide for better usability;
to detect schedule conflicts and improve calendar accuracy;
to provide relevant local information, such as holidays, school terms;
to improve and enhance the PAM App functionality and user experience;
to address any issues raised about our services;
to comply with our legal obligations; and
and for any other purpose required or permitted by law.
Do We Share Your Personal Information with Third Parties?
We share limited personal information with trusted third-party service providers to deliver and improve our Services, including through the PAM App, as further set out below. This sharing is strictly for operational purposes and is subject to confidentiality and data protection obligations.
Analytics: We share your email, name and inferred location (up to region/state level) with third-party analytics providers to improve app functionality only.
User Support: We share your name and email with a third-party support platform to provide customer assistance only.
Marketing and Engagement: We share your name and email, and inferred location (up to region/state level) with a third-party platform to send you updates and communications. You can unsubscribe from marketing communications using the unsubscribe link in any email.
Advertising Analytics: We share identifiable data with Meta for advertising analytics to measure campaign effectiveness.
Financial Transactions: We share email and user ID with third-party payment processors (Apple, Google and Stripe) for reporting and managing transactions. We do not store any credit card information or process any payment transactions directly.
AI Processing: Your user content may be processed via Amazon Bedrock AI services. According to Amazon's data protection policy (https://docs.aws.amazon.com/bedrock/latest/userguide/data-protection.html), your data is not stored, logged, or used to train AI models.
Digital Calendars: (Google/Outlook/Apple Calendar) Your digital calendar data from Google, Outlook or Apple is never shared with any third parties, and is not used to develop, improve, or train AI/ML models.
Some third-party services are required to operate the PAM App (such as hosting, payments, and customer support). Marketing communications and advertising analytics are optional and, where required by law, are only used with your consent. You may opt out of marketing communications at any time.
How Do We Retain and Delete Your Personal Information?
We retain your personal information for as long as your account remains active. You have the right to:
request that all your data be permanently deleted at any time by contacting us at [email protected] or via the app. Deletion requests are confirmed by our team to avoid accidental deletions, and are processed promptly upon confirmation, with no grace period. Deletion requests not responded to are processed 7 days after the request.
request correction of your personal information using the same email address above.
If you choose to request that your data be deleted, this will remove access to our services.
When an account is closed or terminated, we delete or de-identify personal information within a reasonable period, except where retention is required by law or for legitimate business purposes. Backup copies may be retained for a limited period as part of our standard backup and disaster recovery processes.
Data Use Limitations
We do not sell or share your calendar information, email messages, or interactions with the PAM App chat to any third parties. Your data is only used for the purposes outlined in this Policy, or as required by law, and will not be used for unrelated purposes.
Do We Use Cookies and Tracking?
We do not use cookies in the PAM App. We use limited tracking technologies to understand user interactions and enhance app features. We do not share this data directly with advertisers.
Third Party Links
The PAM App may contain links to third-party websites or platforms.
We make no representations or warranties in relation to the privacy practices of any third-party provider or service, and we are not responsible for the privacy practices or content of third party services. Such third-party providers are responsible for informing you about their own privacy practices and you should review their privacy policies separately.
What Security Measures Do We Use to Protect Your Data?
We take reasonable, industry-standard steps to protect your personal information from misuse, loss, unauthorised access, modification, and disclosure. Your data is stored in secure AWS services using TLS 1.2 encryption, industry-standard authentication systems, and enterprise-grade security controls. In the event of a data breach, we will notify all affected users via email in accordance with Applicable Privacy Laws.
If your Personal Information is involved in a privacy breach which we reasonably believe is notifiable or must be reported in accordance with Applicable Privacy Laws (Notifiable Privacy Breach), we will inform the affected individual/s and report the Notifiable Privacy Breach to the relevant supervisory authorities as required by Applicable Privacy Laws in.
While we take reasonable precautions to protect your personal information, no method of electronic transmission is completely secure. You are responsible for maintaining the confidentiality of your PAM App account credentials and for taking appropriate steps to protect your devices and information.
Where Is Your Data Stored?
The PAM App is operated from New Zealand, and we will primarily collect and process personal information on servers in Australia and the United States. We may also use service providers located in other countries (including cloud and data hosting providers in Australia and the United States), which means your personal information may be transferred to jurisdictions outside your country of residence. When we transfer personal information outside New Zealand or your country of residence (e.g., for cloud hosting or analytics processing), we ensure that your information receives the same level of protection through contractual obligations or equivalent legal safeguards in accordance with Applicable Privacy Laws.

Making a Complaint
